What AI for invoices and document data extraction is
AI for invoices is software that reads a PDF invoice and copies the data into your system by itself — supplier, amounts, dates and line items. Exactly the work where today somebody sits retyping numbers from paper into a computer. The technical term is data extraction: the computer pulls the data out of the document on its own.
Imagine every invoice that arrives at your company opening, reading and filing itself — with only the one that looks suspicious landing on your desk. That is the whole principle: the computer does the routine, a person handles the exceptions.

How it works in practice
After automation, the life of one incoming invoice looks like this:
- 1The invoice arrives — by e-mail as a PDF, as a photo from a phone, or as a scanned sheet of paper. Nobody uploads anything by hand.
- 2The AI reads it — it pulls out the supplier, invoice number, amounts, VAT, due date and the individual line items.
- 3It checks it — it verifies that the totals add up, that the company ID exists and that the same invoice is not in the system already.
- 4It books it into your accounting — it sends the data to your accounting software, or prepares an import in exactly the format the software expects.
- 5A person approves the exceptions — whatever is clear goes through on its own. Whatever is unusual, the system flags and waits for your decision.
It is not just invoices
The same principle — document in, data out — works on everything somebody in your company retypes by hand today:
- Contracts — the AI lists the parties, amounts, deadlines and notice periods. No more hunting for where the contract is and how long it runs.
- Orders — a customer's order copies itself into your system. No waiting, and no typo in a quantity or price.
- Delivery notes — they pair themselves with the order, and you see at once what arrived and what is missing.
- Forms and applications — filled-in forms from clients turn into tidy rows in a spreadsheet or in your system.
- Receipts — a phone photo is enough, and the amount, VAT and merchant record themselves. The box full of receipts at the end of the month stops existing.
Business process automation — where to start
Process automation means that an activity which today passes through several pairs of hands runs by itself — from the document's arrival to its entry in the system. You do not start everywhere at once; you pick the one process that hurts the most.
Usually the one where somebody blocks out whole days every month: processing incoming invoices, retyping orders, the monthly close. A typical example: a close that today means five days of chasing paperwork and retyping is routinely done in a day after automation — because the records are entered continuously as they arrive.

Does it pay off?
The maths is simple: how many hours a month the retyping takes, and what that hour costs. Once automation takes those hours over, simple solutions typically pay for themselves within two to three months.
Running the AI itself is cheap — for a small company typically a few euros to a few tens of euros per month. What you mainly pay for is the one-off setup, and you know its price in advance from a fixed quote.
“Our invoices are special” — and other concerns
We hear it often, and it tends to be true: every supplier uses a different format, something is added by hand, something is in a foreign language. That is precisely why the AI learns on your real documents — before launch we show it your typical invoices and fine-tune it until it reads them reliably.
“What if it makes a mistake?” The system is set up to admit a mistake rather than quietly book it. With a value it is not sure about, it stops, flags it and leaves the decision to a person. So you check a handful of flagged documents, not all of them.
“I do not want to change my accounting software.” You do not have to. The AI adapts to what you use — it sends the data in directly, or prepares an import in the format your software is used to. Your accountant keeps working in her own environment; only the retyping disappears.

How much does AI invoice processing cost?
As a guide: running the AI costs a small company a few euros to a few tens of euros per month. The one-off setup depends on how many document types you process and where the data needs to go — custom solutions start in the low thousands of euros. Does it work with our accounting software?
Very probably yes. Common Slovak accounting packages accept imports, and many offer direct integrations — the AI hands them the data in the format they expect. Which software you use is something we cover on the intro call, where we verify the best way to connect to it on the spot. There is no need to change your accounting because of AI.
What if the AI reads a value incorrectly?
The system works with a confidence level for every value. When the number and the amount are clear from the document, it books them; when something is blurred or unusual, it flags the item and leaves it to a person. Checks run on top — totals must add up, the company ID must exist, a duplicate invoice will not be booked twice. And since the system learns from your corrections, the errors keep decreasing over time.
Can it handle scanned paper and photos of receipts?
Yes. The AI copes with PDFs, scans and phone photos — it first examines the document, converts it to text and then extracts the data. It manages slightly skewed or lower-quality scans as well. With a completely illegible document it behaves as with any uncertainty: it flags it and asks for a person.
How long does deployment take?
Typically weeks, not months. First we train the system on a sample of your real documents, then it runs in trial mode alongside normal work — you check what it books. It goes fully live only once it reads reliably. Your accountant keeps working as before in the meantime; nothing stops.
Is it worth it for a smaller company too?
If somebody at your company spends at least a few hours a month retyping, then usually yes. With small volumes you can start with a simpler, cheaper solution and expand it as you grow.
