AI automation
Document digitisation and archiving that runs on its own
Documents from paper, email and phone are read, named and filed in the right place. You find them in seconds.
A short call. We will show you 3 things that can be automated.
Who it's for
For companies whose documents pile up in email, in binders and in folders with names like “new_final2”. It fits if someone at your company names, sorts and searches for files by hand.
What slows you down
- A document arrives by email, on paper or as a phone photo, and someone has to name and file it by hand.
- When you need an old invoice or contract, you search through mail and folders.
- Data from the document is retyped into the accounting software by hand.
How it works
- 1
The document gets into the system, from an email attachment, a scan or a phone photo.
- 2
The program reads the text and picks out the basic data: supplier, number, date, amount.
- 3
The document is named by a single rule and filed in the right folder or in a system you already use.
- 4
If it is an invoice, the data is prepared for entry into accounting (Pohoda, Money S3, SuperFaktúra, Fakturoid).
- 5
Anything unclear or unreadable is flagged by the system and left to a person.
What's left for you
- You approve invoices and documents before they are entered.
- You decide who has access to which documents.
- You review flagged exceptions: an unreadable scan, a document of unclear type.
- Code calculates numbers and totals, not AI.
Digitisation vs. archiving: what is the difference
- Digitisation turns paper or a photo into a document you can search.
- Archiving means storing a document so that it can still be found years later.
- We set up the document flow and a uniform naming rule for you.
- Your accountant or lawyer will tell you the legal retention periods and whether an electronic copy is enough. We do not assess those.
What can be processed
- Received invoices: a PDF from email, a scan or a photo.
- Contracts and orders: named and filed in the right place.
- Email attachments: saved into folders instead of staying in your mailbox.
- From a land registry extract (list vlastníctva) we can prepare a purchase contract: Harvie reads the extract for you.
Why now
- From 1 Jan 2027, VAT payers in Slovakia must issue e-invoices. The fine is up to €10,000, and up to €100,000 for repeated breaches.
- Tidy documents are a good base before that date.
